How to automatically set availability?

If availability is not correct, learn how to automatically set it

If you have changed the availability manually and now it does not correspond to the real state in the calendar, you can do the auto set availability command.

You can have either more or less rooms than the actual availability.

ℹ️ Note: If you have availability that is higher then the real one, you will get the info message above the calendar Availability is set to greater than room type maximum capacity

When you click on that message you will see which room types and periods are with higher availability.

ℹ️ On the other hand, negative availability can happen when room availability is manually set to 0 and subsequent reservations push the availability into negative values.

Example Scenario

  1. A user manually adjusts room availability for "Deluxe Suite" to 0.

  2. A reservation is then manually added for 8 rooms of the "Deluxe Suite" type.

  3. The system calculates room availability as 0 - 8, displaying "-8 rooms".

How to auto set availability

When you find that your availability is not good, whether it is less or more than the real one, you can do the auto set availability command located under General settings.

Go to All settings - General settings - Reservation settings

By clicking on it you will get the message informing you that this action will automatically set availability of each room type to the actual number of available rooms for the next year.

⚠️ Important: All manual changes done will be overwritten. Also, note that this action cannot be undone.

If you are sure that you want to proceed, click on the OK button.


Preventative Measures

To avoid negative availability in the future:

  • Double-check room availability settings before manually adding reservations.

  • Regularly review and update default availability settings to match demand and reservation patterns.
