How to setup automatic emails in the system?

Automatic emails for reports, guests, availability

Ever been in a situation where you would like to have specific reports sent to your emails without having to go to the system directly and export the desired reports?​It is possible to do so in our system easily and efficiently so all sectors of your hotel can receive daily/weekly/monthly reports that they request directly on their email in .pdf format with a configuration that you set up for them.​


Where can you set the automatic sending of e-mails from the system?

Go to All settings > Automatic emails

  • Setting up automatic sending of reports by e-mail.

In the right part of the window, there is "Email Automation - Reports" setting.  Click on the plus icon to create a new e-mail for sending reports from the system.

Clicking on the "plus" icon opens a window where you can choose which report you want to send, at what time each day. Further, for each selected report, a setting opens to set the desired parameters for sending by e-mail.


After you have completed the setup, an e-mail with the desired report will arrive every day at the set time.

  • Setting up automatic sending of e-mail to the guest

By clicking on the "plus" icon in the "Email Automation - Guests" section, a window opens in which you enter the desired name of the setting itself, then the title of the e-mail that will reach the guest, enter the text in the body of the e-mail and fill further settings by which you choose which guests will receive that automatic e-mail.

  • Setting of automatic sending of e-mail to the owner

In the section Emails for Owners, you can set the parameters according to which the owner of the object will receive an e-mail at the set time.

n the last section on the automatic e-mails page, you can set or change the headers and footers of your e-mails.

  • Setting up automatic e-mails, as a notification when the availability by room type falls below the set number

This setting is done through the section All Settings > Rooms/Extras, you need to enter the settings of the room for which you want to set up the sending of e-mail notifications, by clicking on the pencil icon.

After that, in the advanced settings, check the box in front of "Set email notification for availability" and enter the e-mail address to which the notification should be sent, and enter the corresponding number in the box "if availability is below".
